IntelliTrack for Magento Basic Configuration
It is imperative to set up the configuration options in the Plugin before you use it to link the data between IntelliTrack and Magento. These settings dictate how IntelliTrack handles the Magento data. The options are found in the Basic Configuration tab.
IntelliTrack Settings
The IntelliTrack settings guide the data flow from Magento into IntelliTrack. These settings stipulate where the data goes and include the division, unit of measure, site, and location.

Default Division |
The Plugin retrieves the IntelliTrack division or divisions that are assigned to the logged-in user. Click the drop-down arrow in the Default Division field to view the list of available divisions and select the default division from the options that appear. The Magento data is placed in the selected division during a synchronization. |
Default UOM |
After the user selects a default division, the Plugin retrieves the units of measure for this division. Click the drop-down arrow in the Default UOM field and select a default UOM from the list that appears. The items imported into IntelliTrack during a synchronization will be assigned this unit of measure. The unit of measure quantity for an imported item is considered to be one (1). |
Default Site |
After the user selects a default division, the plugin retrieves the sites for this division. Click the drop-down arrow in the Default Site field and select a default site from the list that appears. The Magento data is placed in this site. |
Default Location |
After the user selects a default site, the plugin retrieves the locations for the site. Click the drop-down arrow in the Default Location field and select a default location for the Magento data. When Magento inventory is imported into IntelliTrack, it will be placed in the selected site-location. |
Save Configuration Button |
Click to save the settings to the Plugin. |
Refresh |
Click to update the IntelliTrack data in the drop-down lists. If you have added data in IntelliTrack, clicking the Refresh button updates the drop-down list options. |
Shopping Cart Settings
The Shopping Cart Settings govern how the Magento data is brought into IntelliTrack.
Magento Product Import into IntelliTrack
The Plugin Host Utility will import Magento products into the IntelliTrack item list for the specified division. In order for IntelliTrack to track a Magento product once it is imported, the product must use the Manage Stock setting for the product in the Inventory tab. This is a Magento setting. To verify that your Magento product uses this setting, follow these steps.
Note: These steps are performed in Magento.
- In Magento, go to your main Product Information page.
- In the navigation area to the left, select Catalog > Manage Products.
- The Manage Products page appears. It lists all of your products.
- To check the settings for a particular product, select this product.
- The page for this product appears.
- Select the Inventory tab.
- In the Manage Stock field, the drop-down selection should be Yes. This means that this product tracks inventory.
- In the Qty field, make sure a quantity is set for the item.
Create Item Number Using Setting
Your Magento products are imported into IntelliTrack as Items. IntelliTrack items are found at the Manage Items page. You are able to select from the following options in the Create Item# Using field drop-down list to determine how you want the Magento product to be created as a corresponding item number in IntelliTrack:

Important: IntelliTrack does not allow duplicate item numbers. Take this into consideration when determining the create item number option. Some options may produce a duplicate item number value. In this case, IntelliTrack will only import one of them. Be sure you select an option that will import all Magento products into IntelliTrack with a UNIQUE item number.
Note: The item description is automatically created from the product’s description in Magento. Other information imported with the product includes the price.
Important: The following Magento product types are NOT SUPPORTED by the integration: DOWNLOADABLE, BUNDLED, and VIRTUAL.
Warning: A product with options must be a CONFIGURABLE PRODUCT in Magento to be imported into IntelliTrack. Otherwise, it will not be imported.
The following Magento product types are imported into IntelliTrack:
- Configurable Product: The actual configurable product is not imported, but the individual products within this product’s set of configurable products is imported. Custom options are not imported with each individual product.
- Grouped Product: The actual grouped product record is not imported. Each associated product within the grouped product is imported.
- Simple Product: Custom options are not imported with the product
Send Shipment Notifications Setting
The Send Shipment Notifications checkbox is used to govern shipment email notification to a customer.
- Mark this checkbox to send a shipment notification regardless of the Magento setting. This means that the plugin will override any Magento settings for shipment notification; the notification will always be sent.
- Do not mark this checkbox to follow the Magento setting for shipment notification. This means that the plugin will not override the Magento setting for shipment notification. If a notification is not configured to be sent in Magento, the notification will not be sent. Likewise, if a notification is configured to be sent in Magento, the notification will be sent.
Order Import Status Setting
Important: You must select an Order Import Status that coincides with your Magento order workflow.
Important: IntelliTrack does not support custom order import status options.
IntelliTrack will import Magento orders based upon the order’s status. Select from the following Magento order import status options:
- Canceled
- Closed
- Complete
- On Hold
- Payment Review
- PayPal Canceled Reversal
- PayPal Reversed
- Pending
- Pending Payment
- Pending Paypal
- Processing
- Suspected Fraud
Stock Decreased When Order Placed Setting
In the Shopping Cart Setting section of the plugin, you will find a setting: Stock Decreased When Order Placed. This setting governs if the stock of the products in the order is decreased when the order is placed. By default, this option is set to YES, which means that the stock of the products in the order is decreased when the order is placed. This setting in the plugin MUST MATCH the Decrease Stock When Order Is Placed setting in your Magento Store.
Warning: This setting must be the same in Magento and the Plugin. Otherwise, the inventory between IntelliTrack and Magento will become out of sync.
Check this setting in Magento BEFORE setting it in the plugin:
- In the Magento Admin panel, go to System > Configuration > Inventory.
- In the Stock Options section, locate the Decrease Stock When Order Is Placed setting.
- This setting has two options: Yes and No.
- If this field is set to Yes, mark the Stock Decreased When Order Placed checkbox in the IntelliTrack plugin.
- If t his field is set to No, do not mark the Stock Decreased When Order Placed checkbox in the IntelliTrack plugin.
Complete Order When Shipped Setting and Order Complete Status Setting
The Complete Order When Shipped setting and the Order Complete Status setting work together. They are found in the Store Settings section and depend on the order flow in Magento.
- If you want the order state to be considered complete when it is closed in IntelliTrack, mark the Complete Order When Shipped checkbox and the order will be exported to Magento in a complete state. When this checkbox is marked, the Order Complete Status Setting activates. You must select a status setting to be assigned to the order in its complete state.
- Order Complete Status Setting: Select from the following order status options and the plugin will export the order with a complete state and the selected status back to Magento.
- Canceled
- Closed
- Complete
- On Hold
- Payment Review
- Paypal Canceled Reversal
- PayPal Reversal
- Pending
- Pending Payment
- Pending PayPal
- Processing
- Suspected Fraud
Important: The Order Complete Status set in the plugin must coincide with the order flow in Magento.
Important: When you use these settings, an Invoice is not created in Magento for the order.
- If you DO NOT WANT the order to be considered complete when it is shipped from IntelliTrack, do not mark this checkbox. The order status will remain unchanged when it is exported to Magento. The Complete Order When Shipped setting will be disabled.
Refresh Button
Click to refresh the IntelliTrack options found in the IntelliTrack settings drop-down list options.
Note: Upon a computer restart, click the Refresh button to refresh your settings, if they do not appear, .
Save Configuration Button
Click to save the configuration options that you have selected.
